The Administrative Specialist provides essential administrative support across warehouse and transportation office functions. This role supports daily operations including data entry, inventory control, dispatch administration, customer service, and general office responsibilities.
Data Entry & Verification
Accurately enters and maintains data within Excel and inventory management systems.
Ensures all information is complete, correct, and current.
Timely Data Management
Handles high volumes of data efficiently and consistently meets processing deadlines.
Administrative & Reception Support
Covers lunch and backup duties for the Reception and Customer Scheduling team.
Responds to phone inquiries, supports customer scheduling, manages mail distribution, and executes general administrative tasks such as filing, photocopying, and label printing.
Inventory Management
Maintains accurate inventory records and assists in tracking inbound and outbound products.
Driver Check-In Support
Provides booth services for drivers collecting items from the warehouse.
Drayage & Dispatch Support
Assists with drayage and dispatch functions, including communicating with drivers and monitoring cargo arrivals at the port.
Quality Control Compliance
Documents and communicates quality issues appropriately, ensuring proper reporting and follow-up.
Executive Calendar Support
Provides diary and schedule management for the President.
High school diploma required; Bachelor's degree preferred.
3+ years of administrative office experience
3+ years of data entry experience
3years of experience in a warehouse environment
Proven background in data entry and inventory management within warehousing or logistics
Proficient math and basic finance skills
Strong command of Microsoft Office and relevant inventory/database systems
Highly organized with strong attention to detail
